This role involves orchestrating high-end events, from intimate gatherings to grand celebrations, ensuring every detail reflects the luxury and elegance that our client's hotel embodies. Responsibilities
Event Planners conceptualize and organize events, ensuring they meet client objectives. Responsibilities include budgeting, selecting venues, coordinating with vendors, managing logistics, creating event timelines, and overseeing on-site execution. Event Planners may specialize in specific types of events (e.g., weddings, corporate events) and work closely with clients to bring their vision to life while ensuring a seamless and memorable experience.
- Collaborate closely with the hotel's culinary team to design unique menus for each event, ensuring they meet the client's theme and dietary preferences.
- Conduct weekly coordination meetings with the sales and marketing departments to align on upcoming events and promotional strategies.
- Manage and oversee the setup and breakdown of events, ensuring that the event space is perfectly prepared and returned to its original state.
- Develop and maintain relationships with preferred vendors for decorations, audio-visual equipment, and other event necessities.
- Create detailed event proposals, including timelines, layouts, and budgets, for approval by hotel management and clients.
- Execute at least one large-scale event per month, managing all aspects from initial planning stages to post-event follow-up.
- Conduct site inspections with potential clients, showcasing the venue's capabilities and discussing customizable event options.
- Work directly with the hotel's public relations team to ensure event highlights are captured and promoted on social media platforms.
- Implement a monthly feedback system with clients to assess the success of events and identify areas for improvement.
- Provide training and guidance to a team of assistant event planners and coordinators, fostering a culture of excellence and continuous learning.
Requirements
- Bachelor's degree in Hospitality Management, Event Management, or a related field.
- Minimum of 3 years of experience in event planning, preferably within the luxury hotel sector.
- Certified Meeting Professional (CMP) designation is highly desirable.
- Strong portfolio showcasing a variety of events successfully managed from conception to completion, including both corporate and social gatherings.
- Proficiency in event planning software (e.g., Cvent, Social Tables) and Microsoft Office Suite (Word, Excel, PowerPoint).
- Excellent communication and negotiation skills, with the ability to work effectively with clients, vendors, and hotel staff.
- Demonstrated ability to manage budgets, with a keen eye for detail and the ability to optimize event costs without compromising quality.
- Creative thinker with a track record of implementing innovative event concepts.
- Ability to work under pressure and manage multiple events simultaneously, with exceptional organizational and time-management skills.
- Fluent in English, with additional languages considered a plus to cater to an international clientele.
