We are proud to represent an hotel situated in Dubai’s exclusive Marina area, currently in search of an Administrative Assistant to enhance their team's efficiency in the luxury hospitality sector. Responsibilities

  • Oversee day-to-day office activities, including maintaining supplies, handling correspondence, and organizing meetings.
  • Managing daily correspondence, ensuring timely responses to emails and distributing mail to the appropriate departments.
  • Coordinating and scheduling meetings for hotel management, including room preparation and technology setup.
  • Assisting in the preparation of reports and presentations for weekly management meetings.
  • Maintaining and updating records and databases, including guest information, inventory levels, and supplier contacts.
  • Facilitating communication between the hotel's departments to ensure smooth operations and guest satisfaction.
  • Handling confidential documents with discretion, following the hotel's privacy protocols.
  • Assisting the Human Resources department with the coordination of staff schedules, vacations, and the onboarding process for new hires.
  • Monitoring office supplies inventory and placing orders to ensure adequate stock levels are maintained.
  • Supporting the finance department by processing invoices, tracking expenses, and assisting with budget preparation tasks.
  • Organizing special events and meetings held at the hotel, working closely with the events team to manage logistics and guest accommodations.
  • Providing administrative support for the hotel’s loyalty program, including data entry and communication with members

Requirements

  • Bachelor’s degree in Business Administration, Hospitality Management, or a related field.
  • At least 2 years of experience in an administrative role, preferably within the hospitality industry.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and experience with hotel management software.
  • Excellent communication skills, both written and verbal, with proficiency in English; additional languages are a plus.
  • Strong organizational skills and the ability to multitask effectively in a fast-paced environment.
  • Demonstrated ability to handle confidential information with discretion and integrity.
  • Experience in coordinating events and meetings, showcasing attention to detail.
  • Proven track record of working effectively in a team and collaborating with colleagues across different departments.
  • Flexibility to adapt to changing priorities and manage multiple deadlines.
  • Customer service-oriented mindset with a passion for delivering exceptional guest experiences.
  • Certification in administrative management, hotel operations, or a related area is preferred.
  • Availability to work flexible hours, including weekends and holidays, as required by the hotel's operational needs
